How do I register as a member of a procurement office?

First you must have a registered and confirmed user profile. After logging in, enter your user account (button at top right with initials) and search via "Create organisation or request to join organisation" for the desired procurement office in the tree view of organisations. Then click on "Request to join organisation". The administrators of the relevant organisation then accept or deny your request.

How do I register as a member of a company?

After logging in, enter your user account (round button at top right with initials) and use the search function under "Create organisation or request to join organisation" to find the desired company. Then click on "Request to join organisation". The administrators of the relevant company then accept or deny your request. If the company does not yet have a profile, select "Create new tenderer".

Is it possible to assign the role of "administrator" to several users of a procurement office?

Yes, the role of administrator can be assigned to several persons. In fact, it is advisable to assign at least one additional administrator to act as a deputy.

Do all members of a procurement office see all of its projects?

Yes, as a member of a procurement office, you see all of its projects. Within the projects, you can filter using "Created by me".

Can a member edit all current projects of a procurement office?

Yes, a member can edit all projects of their own procurement office.

How can a tenderer be added to a procurement project?

Registered tenderers can register for a procurement project via an expression of interest. These tenderers (incl. contact person) are displayed for the procurement project. Tenderers must express interest to be able to download documents. The procurement office cannot see which tenderer has downloaded documents. The tenderer can also withdraw interest after downloading documents.

Can tenderers be added by a procurement office to a procurement project?

Yes, if the tenderer is registered as a tenderer.

How does a mandated organisation (e.g. architect, planer) register as part of the relevant procurement office?

There are currently two ways of registering a mandated organisation (e.g. the company "Architects XY" wishes to publish an invitation for the commune "Commune A"). Having a registered and confirmed user profile is a prerequisite.

  1. The mandated organisation creates a new procurement office in the correct position in the tree view. In the process, it is important to click "Yes" under "Mandated organisation".
    The name of the procurement office can be created as follows: "Commune A (Architects XY)".
    As soon as the procurement office is approved by the relevant competence centre, the mandated organisation can create an invitation to tender on behalf of the procurement office. The mandated organisation can view all projects of this procurement office.
  2. If the procurement office already exists, the mandated organisation can request to join it. As soon as an administrator of the procurement office has accepted the request, the mandated organisation can create and publish publications for this procurement office.
    The mandated organisation can view all projects of this procurement office.

An additional "project member" role will be introduced with release 1.2 (approx. end of 2024). This will enable cooperation within a procurement office to be organised on a project-specific level.

How can a PDF of a publication be created?

The function "Create PDF" will be available in release 1.2 (approx. end of 2024). As a workaround, open the data in the project overview and create a PDF of the page using the print function.

Which fields are published?

All completed fields of a publication are published, except for the "Internal dossier reference".

Can templates be created?

The creation of templates will be introduced in release 1.2 (approx. end of 2024).

Is it possible to copy an invitation to tender and then change it?

A copy function will be introduced in Release 1.2 (approx. end of 2024).

Is it possible to forward projects to TED, the publication platform of the EU?

Yes, to do this, select "Publication on TED" when creating the publication.

Can subscriptions be created?

Yes, when the user is logged on. After entering a search, click on the button "Save subscription" (above right from the search field). An overview of all current subscriptions is available in the user account. 10 subscriptions can be saved per user profile.

Is it still possible to establish an interface connection to simap.ch?
